The process of issuing high-value cheques has just become a whole lot safer. The RBI has implemented an electronic authentication method called Positive Pay that will allow you to communicate the information of your cheque with your bank before it is processed. This extra layer of security is intended to combat the increased number of cases of check fraud that have made headlines over the past year.
HDFC Bank has introduced a Positive Pay system for all cheques of the value of Rs 50,000 and above to provide customers with peace of mind when making cheque payments and to decrease instances of fraud caused by tampering with cheque leaves. Positive Pay allows the drawee bank to process cheques for payment depending on the information provided by the client at the time of issuance.
You must disclose the following information about the issued check at least 24 hours before it is submitted in the clearing.
The details (account number/cheque number, and cheque amount) given to the Bank through Positive Pay will be validated when the payee submits the cheque for CTS clearance.
HDFC BANK Positive Pay: Steps To Inform HDFC Bank Of High-Value Cheque
Please take note of the following for the CTS Positive Pay System:
Step 1: After writing the cheque, the issuer (drawer) must give the precise details of the cheque in the sample email format below, along with the accompanying excel sheet, as a confirmation of the cheque issued.
- Serial Number
- Account Number
- Cheque Number
- Cheque Date
- Cheque Amount
- Beneficiary Name
Step 2: An auto-acknowledgment email will be sent to the drawer acknowledging his or her Positive Pay request.
Step 3: The Bank will cross-verify the details after receiving an email from the cheque issuer's (drawer's) registered email address.
Step 4: The bank will accept or reject the Positive Pay request, and an email will be issued to the check issuer (drawer) confirming acceptance or denial.
Step 5: If the Positive Pay request is rejected due to a data inconsistency, the Issuer (drawer) must send a new Positive Pay request via email with the right check parameters.
In the event that a request is rejected due to an unregistered email address, the customer must submit a new request using only their registered email address.
Important information about HDFC Bank Positive Pay
Cheque fraud is a risk that HDFC Bank is well aware of. As a result, we've put in place a solid procedure that adheres to RBI rules. However, not all cheques will be subjected to Positive Pay verification. This method is recommended for cheques worth more than Rs 50,000.
Here are a few things to keep in mind:
- At least 24 hours before the cheque is given for clearing, the details must be supplied through email.
- An excel sheet with the following information should be attached to the email:
- Serial Number
- Your account number
- Cheque number
- Cheque issue date
- Cheque amount
- Name of the payee/Beneficiary name
- The information must be given in English, and the beneficiary name must be written exactly as it appears on the cheque.
- Once the bank accepts your request, you will receive an immediate acknowledgement email.
- The Bank will cross-verify the details after receiving an email from the cheque issuer's registered email address.
- Your Positive Pay request will be accepted or rejected by the Bank, and an email confirmation of acceptance or rejection will be issued to the cheque issuer.
- The request will be refused if there is a mismatch, and a new Positive Pay request can be made after rechecking the check information. Please note that for security reasons, a Positive Pay request must come from the cheque issuer's registered email address.
HDFC Positive Pay; Guidelines to know before submitting high-value cheque
- The wording in the header must be identical (even space is not allowed). The file formats.xls and.xlsx are accepted.
- Only one sheet of data should be used. It is not permitted to use multiple sheets.
- Only 14 digits should be used for the account number.
- Cheque numbers should only have six digits.
- Only numeric quantities should be shared, not comma separated amounts. Connotations such as 'Rs.', 'Lacs / Lakhs / Crores' will be rejected, and the entire data set will be rejected.
- Cheque date format "8" digit = DDMMYYYY
- The maximum size of an email should be less than 2 MB.
- Validations at the field level are not possible on the excel sheet and will be completed once the data has been received by the bank.
- Additional than a-z, A-Z, 0-9, _(underscore), blank space,'(apostrophe), comma, and full stop, no other special characters will be allowed in the payee name.
